The problem

Hospitality businesses lose money between delivery and payment

A restaurant receives a steady stream of supplier invoices, delivery notes and credit notes. Most of them are checked by hand, if at all.

Prices rise quietly. Quantities on the invoice differ from what was delivered. Returned deposits are never credited. Owners usually see the damage weeks later in the report from their tax advisor, when it can no longer be corrected.

On top of that, the paperwork takes hours that belong in the kitchen and with the guests.

What RechnungsWächter does

Upload the documents, get real-time cost control

The team photographs or forwards a document. RechnungsWächter does the rest, with no manual data entry and no connection to a POS or inventory system required.

  1. Capture

    Documents arrive by photo, email forwarding, upload, a dedicated inbox per location or a connected mailbox. E-invoices in ZUGFeRD and XRechnung format are read as well.

  2. Read

    Our AI recognises 14 document types, among them invoices, delivery notes, order confirmations, quotes, price lists and credit notes. It reads each one down to the single line item, including handwritten corrections.

  3. Match

    RechnungsWächter matches the documents autonomously. It checks every invoice line against delivery note, order and agreed price for quantity, price and unit, and detects duplicates and missing mandatory details.

  4. Act

    A deviation becomes a complaint to the supplier, sent automatically or after approval. RechnungsWächter follows it up until the credit note arrives.

  5. Control

    From the same documents the platform builds cost control in real time. It shows cost of goods ratio, costs by type, price development per item, deposit balances, fixed costs and upcoming payables.

  6. Hand over

    Checked documents go to the tax advisor or to DATEV Unternehmen online, Agenda, Lexware Office or BMD, together with an account assignment suggestion.

Measurable effect

How RechnungsWächter actively lowers costs

  • It stops overpayments before an invoice is paid.
  • It shows silent price increases per item in percent and in euros and flags them for renegotiation.
  • It recovers money from complaints and from returned deposits that were never credited.
  • On mandate, our purchasing advisory finds suppliers with better prices for goods, energy and card fees. In purchasing, the average is 4.8 percent, based on our own customer data.

FilialWächter adds a cockpit across all locations for €99 per month, flat.

Our team designs and develops the entire app itself: iOS, Android and web app, the document processing and the partner API.

Live since 15 March 2026

We launched RechnungsWächter at Internorga in Hamburg, the major trade fair for food service and hospitality. Since then businesses use it in daily operation.

Speaker for DEHOGA

At Internorga 2026 Armin Roosen spoke in the DEHOGA Club, the forum of the German Hotel and Restaurant Association, about cost traps in hospitality.

Automated pre-accounting

Today RechnungsWächter suggests the account assignment. Next, it prepares the bookkeeping entries automatically, ready for the tax advisor.

An agent that works for the owner

An AI agent that negotiates prices with suppliers on behalf of the business and completes the bookkeeping on its own.

Recognition, analysis and scale

We use AI systems for document recognition and AI analysis, and we are building the platform to serve many more businesses and locations.
